Ethics, Privacy, Safeguard and Security Statement
- Resources, Estates, Assets, Planning assigns the highest priority to protecting the privacy and security of its client’s data. All files are kept in secure in-house cabinets unless needed at the time and only the particular client’s file is removed during a meeting.
- Printed copies of computer-generated client reports are provided to clients as well as maintained in client files whenever it is deemed necessary that the data be protected in multiple ways. Sensitive files are backed up periodically to protect against computer system failure.
- Working documents containing sensitive or client specific data are carefully shred when no longer needed as are materials from client files that have become redundant or not required to be kept for either statutory or convenience purposes.
- Client emails are preserved and periodically backed up on exterior devices and techniques to prevent sensitive data from being discerned from any one email are employed such as sending only a portion of any access code on single email.
- Computer security software, updated continually, (currently Norton and Microsoft) is employed which conducts regular file scans and blocks attempted intrusions.
- No client personal data, especially pertaining to investments or taxes, is exposed or shared outside the firm without explicit client permission – unless required by regulation or law – at any
time.
